Part-Time Customer Care Administrator

Position Description

The Customer Care Administrator is responsible for ensuring inventory transactions are processed through the inventory system and that all required documents and invoices are provided to customers. The Customer Care Administrator will be located at the Front Desk and will be the first person to greet guests in a hospitable and positive manner.

Major Areas of Responsibility

  • Invoice customers for shipments through the inventory system
  • Make appropriate adjustments to invoices in the inventory and accounting systems
  • Create and maintain project and accounts receivable files (including bill of ladings, freight bills, invoices, etc.)
  • Match bill of ladings with scale tickets, enter actual weights, and receive inventory into the inventory system
  • Process inter-railyard, grading, and material code change transactions within the inventory system for the Millard and Chicago yards
  • Review railyard paperwork to ensure all transactions have been processed
  • Create, maintain, and scan all railroad project files (paperwork/filing)
  • Contact field crews regarding variances and missing paperwork
  • Assist field crews with project related questions
  • Updating all of the shipments in the inventory system with the information pulled from the bill of ladings and scale tickets
  • Process Unloaded Tie reports sent in from Omaha Track yards

Minimum Qualifications

  • High school diploma or equivalent is required
  • 1 - 3 years of administrative work experience is required
  • Previous experience in the railroad industry or tracking inventory is a plus
  • Strong computer skills including intermediate/advanced experience in Microsoft Excel
  • Strong written and verbal communication skills with a high level of accuracy and attention to detail
  • Demonstrated initiative to proactively seek out work, complete tasks, and follow-up on outstanding items
  • Demonstrated ability to think critically and prioritize tasks appropriately
  • Positive rapport and a welcoming demeanor
